Reset an employee's PIN
Also known as: PIN reset, forgot PIN, olvidé el PIN, resetear PIN, temporary PIN, PIN del empleado, change PIN.
Every employee signs in to the terminal with a 4-digit PIN. If someone forgets theirs (it happens, especially after a few days off), a manager can reset it in under a minute and the employee picks a new one the first time they sign in again.
Before you start
- You need to be a manager (a server or bar role isn't enough). If you can't remember your own manager PIN, get in touch: your manager PIN can't be reset from the terminal itself for obvious security reasons.
- The affected employee doesn't have to be there, but it's easiest if they are: you hand them the temporary PIN and they change it on the spot.
1. Sign in as a manager
- On the terminal, tap Admin (cog icon, bottom corner).
- Enter your manager PIN.
2. Find the employee
- Go to Staff.
- You'll see the full team list. Tap the employee whose PIN you want to reset.
If the employee doesn't appear, they're inactive. Turn on the Show inactive filter or, if they no longer work with you, consider deleting them rather than changing the PIN.
3. Tap Reset PIN
brasio generates a 4-digit temporary PIN and shows it on screen. Write it down or read it out loud to the employee.
- The temporary PIN only works once: as soon as it's used, brasio asks the employee to pick their own PIN before continuing.
- If you tap Reset PIN twice in a row, the second PIN invalidates the first. Make sure you communicate the latest one.
4. The employee signs in and picks their PIN
- Leave manager mode (tap Exit or wait 30s of inactivity).
- The employee taps Start shift or Switch user and enters the temporary PIN you gave them.
- brasio asks for a new PIN of 4 digits and makes them repeat it to confirm.
- From then on, they sign in with that new PIN, the same as before.
Good practice
- Don't use obvious PINs (
1234,0000, a date of birth). - Change the main manager PIN periodically and whenever someone with access leaves the business.
- If an employee stops working with you, deactivate them in Staff rather than leaving their PIN active.
Not working?
- You can't see the Reset PIN button: your own role isn't manager. Ask a manager to do it.
- The employee enters the temporary PIN and says it won't let them in: check they're using the latest one you generated, not an earlier one. Generate a fresh one and hand it over.
- If you've forgotten your own manager PIN and you're the only manager, write to us so we can reset it securely.
