Export and re-import the catalog

Also known as: catalog dump, bulk update, importar catálogo, exportar catálogo, CSV de productos, XLSX export.

For venues with hundreds of products, bulk editing through Excel beats the till's per-product form. brasio supports a round-trip: export → edit in Excel → re-import. Sizes, costs, prices, VAT, and category links all survive the round-trip.

Where to find it

On the till, Admin → Catálogo. The toolbar has:

  • Exportar CSV — download the catalog as comma-separated values.
  • Exportar Excel — download as XLSX (better formatting, formulae preserved).
  • Importar archivo — upload a previously-exported CSV or XLSX with edits.

What the export contains

One row per (product, size) pair. Columns include:

  • product_id and size_id — internal IDs (leave blank to create new rows on re-import).
  • name, category, subcategory.
  • price_cents, cost_net_cents, vat_rate.
  • size_label, size_ml_or_units.
  • track_inventory.
  • container_ml_or_units, container_cost_net_cents — container model fields. See The container model.
  • is_vegetarian, is_gluten_free, is_spicy, allergens, description_es, description_en — menu fields.
  • display_order, menu_visible — public menu PDF fields.

The list isn't exhaustive — open the file in Excel to see every column.

Edit and re-import

  1. Open the downloaded file in Excel / Numbers / LibreOffice.
  2. Make changes — e.g. apply a 5% price rise to every wine, or update costs after a supplier change.
  3. Save (keep the same format — CSV or XLSX).
  4. Back in Admin → Catálogo, tap Importar archivo.
  5. Pick the file.
  6. Importing options:
    • Desactivar productos que no estén en el archivo — tick this only if you intend the import to be the complete catalog (anything missing gets deactivated). Leave unticked for partial edits.
  7. Tap import.

brasio matches rows by product_id / size_id:

  • Same ID → update.
  • Blank ID → create.
  • Missing from file and checkbox ticked → deactivate.

The post-import summary shows Tamaños · {created} creados · {updated} actualizados and {count} categorías creadas if you introduced new categories.

Common workflows

  • Annual price review: export, apply a percentage in Excel, re-import.
  • Supplier cost update: export, paste new costs from the supplier's price list into cost_net_cents, re-import.
  • Bulk allergen tagging: export, fill in the allergen column from a master list, re-import.
  • Menu engineering: export, sort by cost_net_cents / price_cents, decide what to discontinue or reprice.

Not working?

  • Import says "row X failed": the row has an invalid value (e.g. negative price, missing required field). The summary lists each failing row with the reason — fix and re-import (only the failed rows need re-uploading; updates are idempotent).
  • A new product didn't appear: confirm product_id and size_id were left blank on the new row.
  • A product was deactivated I didn't expect: the Desactivar productos que no estén en el archivo checkbox was on and the row was missing. Untick it and re-import.
  • VAT rate field rejected: brasio expects a percentage (e.g. 10, 21, 4) — not 0.10 or 21%.
