Bookings: walk-ins, online and time-slot bookings

Bookings

Also known as: bookings, table reservations, time slot allocations, walk-ins, seating.

brasio manages bookings directly via the POS system. You can take a booking over the phone, receive bookings via a public link, manage time slot allocations and send confirmation emails with an .ics file attached. When the customer arrives, you seat them — by opening a table account directly from the booking itself.

Where to find them

On the terminal, Admin → Bookings (path /admin/reservations). The window showing the next 2 hours also appears as a widget on the floor plan screen for a quick overview.

The list of bookings

The list for the selected day shows:

  • People — diners.
  • Name — customer (or No customer if anonymous).
  • Time — time of the booking.
  • Phone and Email — contact details.
  • Source — source (manual, Resos, public GBP link).
  • Note — special request.

Tabs: Today · Upcoming · All. Filter options: Confirmed · Seated · No-show · Cancelled. Search by name.

Create a manual booking

  1. Click New booking.
  2. Fill in Date, Time, Number of guests, Customer name, Telephone (optional), Email (optional), Notes (optional).
  3. Tick Send confirmation email to customer if you want brasio to send a confirmation email with an .ics file.
  4. Create booking.

If the slot is full, brasio will display the message That slot is full — please try another time. Managers can override the capacity limit.

Edit a booking

Click Edit. The fields are the same. Click Save changes to confirm.

Seating a customer

When the customer arrives:

  1. Look them up in the list (Today tab; or search by name).
  2. Click Seat.
  3. Choose a free table (optional — you can seat them without assigning a table).
  4. brasio opens an account for that table linked to the booking.

The status changes to Seated. Mark as No-show if they don’t turn up, or Cancel if they give notice.

Capacity per time slot

Each venue sets how many guests can be seated per time slot (15-, 30- or 60-minute windows). This rule is what causes a booking attempt to fail with the slot_full error. Capacity is managed under Admin → Bookings → Reservation settings.

Public booking link

brasio supports a public booking process via a link — typically the Book a table button on Google Business Profile or on your website. The link allows the customer to choose a time, the number of guests and their contact details, and the booking appears in the Bookings list as Confirmed with the source listed as GBP/website.

Notify me when a booking is made

An online booking may come in without anyone realising until someone opens the POS system — and if you have manual approval enabled, it remains pending a decision that nobody knows is outstanding.

Under Admin → Bookings → Reservation settings, enter your email address in the Email me about bookings field. You’ll receive an email as soon as an online booking is made, including the date and time, number of guests, name, telephone number and any notes from the customer. If the booking requires approval, the email will state this clearly.

  • Leave this blank if you don’t want to receive notifications. This is optional.
  • Only one email address is permitted. If there are several of you, use a shared email address such as [email protected].
  • Notifications are only sent for online bookings. Bookings entered by staff at the POS terminal do not trigger a notification: the person who made the booking is already on the premises.
  • The notification is in the language of your establishment, not the customer’s.

If the email doesn’t arrive, check your spam folder before assuming it’s lost, and make sure there are no typos in the address — a misspelt address won’t trigger any visible error message.

Contact WhatsApp in the confirmation

On the same screen, Contact WhatsApp adds your number to the customer’s confirmation screen as a clickable link, alongside a reminder to check their spam folder if they cannot see the email.

Leave this field blank and nothing will appear. Use a business number: this is visible to anyone who visits your booking page.

Integration with Resos (Triple Brew-specific)

Triple Brew specifically has a live integration with Resos.com. Bookings made on Resos are synchronised with brasio every 60 seconds and appear in the list with the source marked as Resos. Resos remains the booking widget that the customer sees; brasio is where staff can manage bookings, mark no-shows or cancel them. Other brasio venues do not currently use Resos — please get in touch if you’re interested.

Confirmation email and .ics

When you tick Send confirmation email to customer whilst creating a booking:

  • The customer receives an HTML confirmation containing the date, time, number of guests, and the venue’s name and address.
  • A .ics file is attached, which the customer can import into their calendar.
  • A cancellation link specific to that booking. The customer can see the date, time and number of guests, and can cancel themselves without having to call. The table is released immediately and the booking changes to Cancelled on your list.
  • No automatic reminder is sent — it’s up to you whether you follow up manually.

The cancellation link also works for bookings that are pending approval: a customer who changes their plans before you’ve confirmed the booking can cancel it themselves.

What doesn’t work

  • It says the venue is full but it’s actually empty: check your Reservation settings — capacity is based on time slots, not seats, so a 19:30 time slot may be full even if there are free tables (the kitchen needs a buffer between sittings).
  • The ‘No-show’ button is missing: the booking is already in a final status (Cancelled or Seated). Walk-ins do not count as no-shows.
  • Resos bookings aren’t showing up: the 60-second refresh may be delayed. Click Refresh to force an update. If Resos has them but brasio doesn’t, please let us know.
  • The customer says they haven’t received the email: check the email field for any typos and ensure the Send email toggle was enabled when creating the booking. Resend by editing and saving again.
