Recording waste, breakage and staff drinks

Also known as: waste, mermas, breakages, spills, staff drinks, gone-off, recording stock loss.

When a beer gets spilled, a bottle breaks, a wine goes off in the cellar, or the team has a shift drink — you want it off the stock count and you want it tracked. brasio's waste flow handles all of that from the bar terminal in two taps.

Record a waste entry

  1. On the bar terminal, find the product on the inventory rail or in the product grid.
  2. Press and hold the product for half a second (long-press). The waste modal opens.
  3. Pick the size that was wasted — Growler, Large, Small, Taster, Glass, Bottle, etc. The chips show the pour ml so there's no ambiguity.
  4. Pick the reason — Breakage, Spill, Gone off, Staff, or Other.
  5. Adjust the quantity if more than one (default is 1).
  6. Add notes if you want (required if reason is "Other").
  7. Tap Record waste.

The cost preview at the bottom of the modal shows the estimated euro cost as you adjust quantity, computed from the product's container cost ÷ ml × pour size.

What gets deducted

brasio knows how each product is stocked and deducts the right thing:

  • Kegged beer (container model): the pour ml comes out of the currently-open keg's openContainerMlLeft. When that drains, the next keg rolls open automatically. A Small Estrella (330 ml) on a 50 L keg ticks the open keg down by 330 ml — not a whole keg.
  • Wine by the glass (glasses-per-bottle model): a glass comes off the currently-open bottle. When the bottle's empty, the next one from the cellar opens automatically.
  • Bottled beer, canned drinks, food (simple unit model): quantity comes straight off the unit count. No size needed.

If you try to waste more than is actually in stock, the till blocks the action with "Not enough stock to record this waste."

Manager PIN above a threshold

Each tenant sets a euro threshold (default €15) on waste entries. If the estimated cost of a waste entry exceeds it, the till prompts for a manager PIN before completing — same pattern as cash payouts and voided lines. The threshold is set in Admin → Tenant → Inventario (Owner only).

Where the entry shows up

  • Movements log (Admin → Inventario → Movimientos) — every waste row with operator, reason, time, cost.
  • Shrinkage dashboard (Admin → Inventario → Mermas) — declared waste is shown alongside unexplained loss so you can see the gap.
  • Stock history on the product editor — last 20 movements including waste are right there when you open the product.
  • The fill bar on the till updates immediately on the keg / bottle the pour came from.

Not working?

  • The long-press isn't opening the modal: make sure you're holding the product still for 500ms. Moving your finger more than ~10px cancels it (so a scroll gesture won't accidentally trigger it).
  • The reason chip "Other" won't let me save: notes are required when the reason is "Other" — write a short note explaining what happened.
  • The cost shows 0 €: the product has no container cost or per-size cost set. Open the product in the Catalog editor and add costs under sizes or container.
  • I want a different manager-PIN threshold: change it in Admin → Tenant → Inventario — both the waste threshold and the stocktake variance threshold live there.
